Children's Data Notice

This is a draft policy for development purposes. It must be reviewed and approved by qualified legal counsel before production use.

This notice supplements our Privacy Policy for data about children and young people using club services.

Parents or guardians may need to grant data-sharing consent before accessing a child's portal data.

Consent records include version, date, and method for audit purposes.

Parents or guardians with data-sharing consent may optionally upload a headshot of their child to help coaches identify athletes in squad lists and profiles.

Upload requires confirmation that you have the right to provide the image and that it is an appropriate headshot. Club photography policies may also apply.

Child profile photos are visible only to authorised users within the club portal (for example coaches, club staff, and the child's parent or guardian). They are not published publicly.

You can remove a photo at any time from account settings or request erasure under GDPR.

Training and session data is recorded to support coaching and athlete development.

Notes may be typed or dictated using browser speech recognition; audio is not retained.

Welfare and safeguarding data is handled with heightened access controls.

Some data may be retained longer where required by law or safeguarding policy.
